Q: I am getting a "Runtime error 5 invalid procedure call or argument runtime error 440 automation error" - filed under Accounting Software

This error is caused by Vision not being able to handle some newer printer drivers, particularly on multi-function laser/scanners.  The best solution is the following:

  1. Open the Windows printer list, and confirm the details of the printer in question, in patricular the printer port.
  2. Create a new printer, called "Vision Printer" or similar, that points to the printer in question.  Rather than the default driver, select a generic Windows driver suitable for that model - for almost every model laser printer, you could choose a HP LaserJet 2100 driver, for example.
  3. Re-start Sybiz, and from the main screen, drop down the file menu, and choose "Printing Settings".  Change all the forms to print to the new Vision Printer.

This should fix your problem.  If the printer in question is used by several people on the network, it might be easier to create the new printer on the server, then share it from each computer.

Q: How do I find the name of the standard forms we are using? - filed under Accounting Software

Sybiz Vision stores a complete list of forms seperately for each user.  While it is most likely that everyone in your organisation will use the same invoice form, potentially every user could have a unique layout.  To see which layout is curretly assigned to your login, start from the main screen.  Click on the File menu, then select "Printer Settings".  This brings up a screen that shows you all the forms (with the assigned printer, a setting that is stored per computer, rather than per user).  You can edit the details, to select to use other form layouts in this area as well.

Q: How can I edit the Advanced Printing forms? - filed under Accounting Software

All the advanced printing forms are created with a reporting progam called Crystal.  Crystal is also used to write most of the standard reports in Sybiz Vision as well.  To edit forms or reports, you will need to purchase a copy of Crystal Report Writer (version 9 or higher).  Whilst you dont need to be a computer programmer to use Crystal, you will need a good understanding of relational databases.

Q: When paying a redundancy or termination, how do I stop further leave being accrued on the paid-out hours? - filed under Payroll Software

Sybiz Visipay handles this very easily.  You will need at least one new pay item, called somthing like "Termination Leave Payout", or similar.  It would be setup just like your current Annual Leave pay item, except that where the Calculation Method is normally "Per Hour", in this case we make it "Per Item", and of course Superannuation does not apply. 

In the case of a redundancy payout, you would create a new pay item called "Redundancy" or similar, which would be a "Gross Earning (Standard)", and again "Per Item".

In either case, when one of these pay items is used, no leave accrual will occur.

Q: How do I setup non-superannuation Salary Sacrifice in Visipay? - filed under Payroll Software

If you have employees who are salary sacrificing laptops, vehicles, or other non-super items, you may want to track this through payroll However, If the Salary Sacrifice has no FBT implications, it might be easier to leave it out of payroll altogether, and simply reduce his hourly rate for 'standard’ hours to reflect the amount they are sacrificing. 

If you need to track and report on FBT, this how Visipay can manage it:

Create a new Earning Pay Item called “Vehicle Salary Sacrifice” or similar

Create a new Fringe Benefit called “Vehicle FBT” or similar

Edit the employee’s pay profile, and add the Earning item with a negative Qty, for the amount they are sacrificing, and add the FBT line for their contribution.  If ther is no FBT implication, but you prefer to manage Sal Sac through payroll for reporting reasons, simply ignore the FBT steps above.
